Administrative Assistant (full-time)
The American Civil Liberties Union of Delaware invites applications for the
position of Administrative Assistant. The ACLU of Delaware is a non-profit organization
dedicated to the preservation and enhancement of the individual rights of all
Delawareans under the U. S. and Delaware Constitutions. We are affiliated with
the American Civil Liberties Union Foundation, the nation’s oldest and
largest organization dedicated to advocacy, public education, and litigation
in support of civil rights and civil liberties. The ACLU of Delaware is a friendly,

Position Description:
Reports to the Executive Director and works closely with the Staff Attorney,
the Program Coordinator, and volunteers. The Administrative Assistant is responsible
for daily administrative tasks, handling mail, requisitioning of supplies and
materials, overseeing equipment (copier, fax, postage meter), managing membership
database and gift acknowledgement support, coordinating Executive Director’s
calendar, helping to plan annual event and board meetings, and an array of other
general office duties.
Specific Responsibilities:
- Word-process, compose, proofread correspondence, meeting minutes, and other
documents;
- Provide administrative support to staff and, as directed, to Board of Directors,
Executive Committee, other Board committees;
- Maintain up-to-date filing on all office files including case files and
administrative records;
- Assemble and supervise mailings & manage and maintain organizational
mailing lists and labels;
- Schedule meetings and oversee meeting logistics, both inside and outside
of the office;
- Maintain office-wide calendar of events and activities;
- Handle mail and correspondence; schedule appointments and make travel arrangements;
- Assemble and disseminate informational materials for media and general public,
including press releases;
- Provide reception and telephone coverage;
- Manage and troubleshoot office systems, including telephone, voicemail,
and information technology. Contact and interface with vendors, customer service,
and i.t. support as necessary.
- Work on special research and organizing projects as assigned by Executive
Director
- Schedule and confirm appointments; maintain calendar and address book of
the Executive Director; assist Executive Director while he/she is traveling
for out-of-office meetings.
- With other staff, plan and organize events.
- Manage the fundraising and membership databases; respond to member inquiries;
draft correspondence to members.
- Other duties as needed or assigned by Executive Director.
Qualifications:
- Proficiency and experience with Microsoft Word, Excel and Outlook; proficiency
with other MS software such as Publisher and Access and with Quickbooks or
other financial software a plus;
- Must be very organized and able to set priorities and handle multiple tasks;
- Must be attentive to detail, able to take direction, and work well with
others;
- Good typing and grammar skills, as well as professional telephone manner;
- Commitment to the mission of the ACLU or the advancement of civil liberties
under the U. S. and Delaware Constitutions; understanding of basic civil liberties
issues and current affairs a plus.
Compensation and Benefits:
- Compensation is commensurate with experience
