OVERVIEW:
The American Civil Liberties Union (ACLU), the nation’s
premier public interest organization devoted to the defense of the Bill of Rights,
seeks a full-time Special Gifts Administrator for its Development
Department in New York City.
Reporting to the Gift Processing and Member Servicing Manager, the Special
Gifts Administrator manages the gift processing, acknowledgment, record changes
and donor services for the ACLU’s top donors and high dollar gifts, including
high volume direct mail returns for the special gifts direct mail program. The
Administrator oversees day-to-day gift entry and donor services; maintains database,
provides reporting and reconciles income; helps to set up and maintain processes
and systems; works with major gifts, gift planning, institutional giving and
ACLU state affiliates to provide timely gift entry, donor services and acknowledgment.
ROLES AND RESPONSIBILITIES:
- Ensure the timely opening and sorting of incoming gifts.
- Prepare returns, including credit cards, for data entry and deposit.
- Oversee all aspects of donor acknowledgments, including the review of gifts
and donor correspondence to determine appropriate acknowledgment; creating
and maintaining the customized acknowledgment system in conjunction with Special
Gifts department.
- Administer batch creation for data entry and deposit.
- Coordinate daily deposits with administrative department.
- Responsible for ACLU Foundation gift entry, including credit cards, and
file uploads into fundraising database.
- Maintain and update gift processing procedures.
- Train staff to ensure that they are properly updated in changes to procedures
or new processing.
- Maintain file hygiene, including address changes and record updates, adding
new donors.
- Manage income logs and the filing of source documents.
- Oversee all aspects of data entry controls through batch control and balance,
including month-end reconciliation with deposits and adjustments to data.
- Work with the Accounting and Finance Department to ensure the accuracy of
gift allocation and deposits.
- Assist with coordination within the Development Department to ensure accurate
and timely gift entry, donor servicing and acknowledgment.
- Take part in phone, mail and email correspondence on a variety of subjects;
route inquires regarding ACLU policies to appropriate staff for timely response;
work in conjunction with Gift Processing and Member Servicing Manager, and
other Development staff, to inform donors about making gifts to the ACLU;
respond to donor requests regarding special treatment in the ACLU Foundation's
direct mail program.
- Supervise staff assigned to help administer tasks.
- Other related duties as assigned.
EXPERIENCE AND QUALIFICATIONS:
- Minimum of 2-3 years of equivalent experience required.
- Bachelor’s degree preferred.
- Knowledgeable about tasks and procedures related to gift processing and
fundraising databases.
- Extensive knowledge of Microsoft Word, particularly mail merge.
- Proficiency with databases and software programs, including Excel and Outlook.
- Excellent problem solving and analytical abilities.
- Excellent verbal and written communication skills.
- Experience supervising support staff strongly preferred.
- Customer service experience preferred.
- Strong multi-tasking skills and the ability to set priorities.
- Excellent attention to detail.
- Must be self-motivated and possess the ability to work both independently
and as part of a team.
- Willingness and ability to see work through to completion and meet deadlines.

COMPENSATION:
The ACLU offers a generous and comprehensive compensation and benefits package,
commensurate with experience and within parameters of the ACLU compensation
scale.
